For any business where goods physically leave the premises, on a delivery vehicle, with a customer, out to another branch, a gate pass is how you record what went out, when, and with whom. Creating a gate pass
- In the sidebar, open the Gate Pass menu and click Create Gate Pass.
- Choose the type, for example goods going out (outward), coming in, or returnable items.
- Add the vehicle and driver details, vehicle number, driver name, and contact, so there is a record of who took the goods.
- Add the items and quantities that are leaving.
- Note the purpose and whether the items are expected to return, with a return date if so.
- Save. You now have a recorded gate pass, and your security or gate staff have a document to check against.
Why a gate pass matters
A gate pass closes a gap that memory cannot. When goods leave without a record, disputes follow: did the delivery actually go out, was everything on the vehicle, did the returnable equipment come back? A gate pass answers all of these with a document, protecting you from both honest confusion and deliberate loss. For a warehouse or a larger operation, it is a basic and valuable control.
Returnable items
Some things leave and are meant to come back, equipment, containers, items sent out for a job. Marking a gate pass as returnable, with an expected return date, means you can track what is still out and follow up on anything that has not come back. Without this, returnable items quietly disappear.
Reviewing and reporting
Under the Gate Pass menu, Gate Pass List shows all your passes, and Gate Pass Reports let you review the movement of goods over time. This is your record of everything that left, useful for audits, disputes, and simply knowing what went where.
A few tips
- Record the vehicle and driver, the who is as important as the what.
- Mark returnable items clearly and chase the ones that do not come back.
- Use the gate pass list to settle any dispute about what left and when.
